JOB TITLE: Inventory Control Coordinator

SALARY: $54,100 - $70,000

DEPT/DIV: MTA Police Department

SUPERVISOR: Manager, MTA Police Procurement and Materials

SCHEDULE: 9:00AM-5:30PM

LOCATION: 420 Lexington Avenue, New York, NY 10170

SUMMARY

Responsible for the inventory control and asset management of the MTA Police Department equipment and distribution, generating inventory related reports and compliance to internal or external audit requirements including equipment funded through federal funds.

RESPONSIBILITIES

  • Process all grant and non -grant funded procurement transactions based on MTA Police Department member approved purchase request form complying with grant and MTA Police Department guidelines.
  • Enter purchase requisition in PeopleSoft for procurement transactions as applicable.
  • Coordinate with Budget Department and obtain applicable Capital / operating budget information for each transaction so as to properly deduct from the allocated budget.
  • Ensure timely receiving of invoices and payment through PeopleSoft receipt process or other methods as applicable for the grant/non-grant funded invoices.
  • Generate file folder for each funded transaction starting from approved purchase request form to final payment and goods receipt in accordance with Grant and MTA Police Department procurement process and maintain full compliance with audit requirements if any.
  • Coordinate receiving of goods and manage storage until goods are distributed.
  • Verify and document each receipt of goods and services prior to payment of invoices.
  • Barcode and tag equipment where applicable with MTA Police Department barcodes and stickers.
  • Handle and maintain up-to-date status of all grant funded contracts and post contract administration and generate reports as needed.
  • Handle data entry into MTA Police Department inventory data base for the grant funded and Police department property and generate reports as needed for MTA Police Department internal and external audit.
  • Coordinate with all districts and units of the MTA Police Department to ensure that all equipment location and maintenance are in line with audit requirements.

KNOWLEDGE, SKILLS, & ABILITIES

  • Must possess excellent verbal and written communications skills.
  • Must possess prior experience with Microsoft Office applications and related database systems.

EDUCATION & EXPERIENCE:

  • Must have a high school diploma or equivalency. Higher education is preferred.
  • Must possess at least three (3) years of experience in Inventory Control.
  • Prior procurement and invoice processing experience preferred.
  • PeopleSoft experience preferred.
